Job Analysis for Receptionist

I would like a job analysis for a receptionist. The job is to answer the phones, take messages and greet guests. The person needs to be able to hand a multi-line phone system and make sure that calls to the executives (4) get to them or their assistants.

I have some suggestions,

First a receptionist is often the face of the company in many senses of the word. When someone calls, the receptionist is often the first person someone talks with. When someone visits, the receptionist is ofter the first person someone sees and interacts with.

Secondary duties often include clerical and administrative functions.

Of course this varies by company so the mix of reception work vs clerical is an input into your job analysis.

Key traits for someone who is essentially the face of the company should include the correct disposition and ability to relate to the clients. For instance a receptionist at a Gym might be someone who is always upbeat and greets everyone with enthusiasm. On the other hand if you run a mortuary, you don't want your receptionist to be perky and happy, you are looking for someone with a more serious tone.

So my recommendation is to first decide the presentation of the person who will represent your company and then create the description. Next add the secondary skills like admin, finance, clerical, hr that you would like this person to have and you have a good start to your job analysis.
